FACILITY: REQUEST FOR USE

This form is for any person(s) desiring to use the NEXT facility for any type of gathering outside of the NEXT Community Church sponsored calendared events. PLEASE NOTE: This facility request is not a guarantee of your event. All requests are brought to the NEXT staff to check availability of the needed rooms and resources requested. You will be contacted with any questions and if your request has been approved.

FACILITY USE POLICY

PART 1: POLICY PURPOSE To ensure that Next Community Church facilities are well managed and used in ways which both glorify Jesus Christ and are consistent with our guiding values to love and serve the community. Because of the volume of requests for use of our facilities, it is the policy of NEXT Community Church that the applicable costs incurred for administration, A/V support, maintenance, cleaning, set-up, security, utilities, and equipment are paid for by the applicant. Unless the use of these facilities involves a program of NEXT Community Church, and/or is sponsored by one of the ministry teams of this church, the following terms of agreement and the following information and procedures prevail. PART 2: FACILITY AVAILABILITY ● Church-sponsored activities take precedence over all other requests. ● Facilities are generally available from 8 AM to 10 PM Monday – Friday; Saturday from 8AM – 3PM; and Sunday from 1PM-10PM. Facilities are available as long as the event does not conflict with other scheduled activities. (PLEASE NOTE: THESE DAYS/TIMES THE BUILDING IS OFTEN UNAVAILABLE - Monday Evenings due to ReNew Ministry, Wednesday Evenings due to Student Ministry, Thursday Evenings due to Worship Practice, Saturday Evenings due to services, Sunday morning/early afternoon due to services) ● A custodian or responsible staff member/NEXT Community Church representative may be on site. ● Booking may not be more than 12 months in advance without staff or ministry leader approval. ● For ongoing usage there must be a contract reviewed by the NEXT Community Church team and approved by the Elders. PART 3: USE/SECURITY DEPOSIT COVERAGE INCLUDES ● Access to reserved area from time of entry to time of final lock-up, access to adjoining restrooms. ● The room’s normal configuration - Approval is required to change the configuration of the used space (i.e. tables, chairs, etc.), remove items, and/or to bring in temporary items which could incur additional fees. ● Services of personnel as determined necessary by NEXT Community Church’s Facilities Manager. PART 4: FACILITY CONTRACT TERMS AND AGREEMENT Persons or groups wishing to use NEXT Community Church facilities must agree and abide by the following: 1. A signed contract for the use of facilities shall be required for all users. This contract shall include conditions of facility use and requirements for supplies and equipment. 2. The Church may arrange for a representative(s) from the Church to oversee general supervision of the event and the operation of the sound and lighting systems. If no representative(s) are available, the facilities and/or resources may not be available. 3. Wedding officiants must be a partner of NEXT Community Church pastoral staff or must be approved by the Lead Pastor. 4. A damage deposit may be required upon confirmation. All or part of the damage deposit may be withheld in case of damage or misuse of facilities. If damage costs are higher than the deposit – the applicant will be responsible for the additional damage. 5. NEXT Community Church reserves the right to cancel the contract if contract terms are breached. In the event that NEXT Community Church requires an “unexpected use” (ie. funeral) of a portion or all facilities requested, NEXT Community Church reserves the right to cancel, modify or reschedule the contract. If inclement weather inhibits the opening of the facilities, NEXT Community Church reserves the right to cancel use of the facilities and a full refund will be given. 6. In the event the planned function is cancelled by the applicant, any expenses incurred by NEXT Community Church shall be paid by the applicant. 7. Use of the facility shall be in conformity to the City of Skippack ordinances on fire, safety, smoking, parking, overcrowding, etc. Hallways, stairwells, foyers, and all entrances must not be blocked at any time. Exterior doors must NOT be propped open at any time. Room capacity rules must be observed. 8. Candles are permitted only if proper care is taken to make sure no wax falls on the floor or other surfaces, and that the flames do not exceed the top of the container. 9. Small items such as glitter, confetti, etc. are not allowed to be used in the church facilities or on the church property. 10. No tacks, staples or other fasteners are to be used on any furniture, fixtures or other surfaces in the facility. However sticky tack, command strips/hooks and/or masking tape may be discreetly used for hanging decorations on walls, but MUST be removed immediately after your event. 11. All applicants (non-church sponsored events) must supply all of their own disposable items for their event (paper goods, flatware, salt, sugar, pepper, sweetener, coffee, tea, etc.). Left-over items from the event should be taken immediately by those using the space; anything left unclaimed becomes property of NEXT Community Church. 12. All spaces used in the facility must be left clean and the trash emptied into outside dumpster. Any clean up after the event by NEXT staff, including washing of towels, etc. will be charged at the rate of $25/hour and deducted from damage deposit. No equipment may be removed or borrowed from NEXT Community Church. Please leave the property as you found it. 13. No food or beverages are allowed in the Worship Center or lobby area without prior approval from NEXT Community Church. 14. No pets or animals are allowed except those aiding persons with disabilities. 15. All rooms and other areas of the Church not specified in the contract are off limits. 16. If children are present when adults are using the facilities, they must be under the proper supervision at all times and confined to the appropriate area requested and approved. Nursery, Toddler rooms and/or kids rooms must be booked to be used, extra charges may apply. 17. No access to, nor operation of, the Church lighting or sound systems are permitted except by designated NEXT Community Church trained personnel. 18. The Church musical equipment (drums, piano, microphones, etc.) are strictly off limits and shall not be moved from their location unless prior arrangement is made with NEXT Community Church. 19. The church computer systems, software and connections to the server are strictly off limits. If Internet connections are required, prior arrangements must be made with Next Community Church. 20. The photocopiers and fax machine are not available for personal use. 21. Vehicles may park only in designated areas (no parking on the grass). 22. Table linens will not be supplied by NEXT Community Church. 23. Church Furniture & Equipment (ie. tables, podiums, etc.) must be booked as part of the contract, and is limited to what we have available. 24. Alcohol or illegal drugs shall not be permitted on the Church grounds or in the Church building. 25. NEXT Community Church is a ‘smoke-free’ facility. Smoking of any sort is not permitted within the Church building. 26. Any condition, activity, action or deed contrary to this Facility Policy, NEXT Community Church’s Core Values and Beliefs or Contract Terms shall be sufficient cause or reason to disallow or cancel and or evict any applicant guest thereof. 27. Damage incurred by any member of the group attending including third parties (i.e. caterers) will be the responsibility of the applicant.  28. Any applicant who falsely represents himself or herself in the agreement shall be denied access to the Church facilities or grounds, and this shall be sufficient cause or reason to disallow or cancel/evict any applicant or guest thereof. Deposits may be forfeited. 29. It is the responsibility of the applicant to supervise those attending the event and insure they are aware of the conditions of this agreement. 30. The applicant acknowledges that by signing this contract the applicant will be responsible and liable for any injuries, harm, sickness, and or up to and including death of any person(s) arising from the event within the Church building or on the Church grounds including third parties (i.e. caterers). 31. The leadership of NEXT Community Church reserves the right to allow use of these premises only by individuals or groups compatible with NEXT Community Church’s core values and beliefs. 32. Deposits are due upon signing this agreement and any fees are due by the day of the event. 33. All pages of this Facility Policy form the basis of the agreement. PART 5: FACILITY USE DEPOSIT AND REQUESTED DONATIONS● Security deposit: $200.00. This deposit will be fully refunded as long as there is no damage to the property and facilities are left clean and tidied. If the building is not cleaned well enough (as determined by NEXT event facilities director), a cleaning fee will be taken from the security deposit. ● Requested Donations: None for NEXT Community Church Partners and regular attendees. For outside applicants: Worship Center $400 (for 4 hours) Gathering Place $300 (for 4 hours) Kids and Littles rooms $100 each (for 4 hours) Multi-purpose rooms $100 (for 4 hours) ● Cleaning fee/hour: $25/hr. ● AV fee/hour: $25/hr. ● Weddings and Funerals: We do recommend an honorarium gift for pastors (head or worship) involved in weddings or funerals: $200/person; additional tech support would cost $25/hour.
